Discuss this scenario ↗

All amounts are USD. Rates are suggested and editable commercial planning values, not final prices or official market averages. Savings depend on your inputs and a comparable scope of work. Your calculator inputs stay in this page and are reused in the contact form. All calculators share one live scenario.

How the estimate works

Bookeaze monthly cost = max($750, sum of doors in each block × that block’s rate).
Monthly savings = current monthly bookkeeping cost − calculated Bookeaze monthly cost.
Annual savings = monthly savings × 12.
Monthly fee per door = average monthly rent × management fee percentage.
Equivalent doors = positive monthly savings ÷ monthly fee per door.

This compares cost savings to gross management-fee revenue, not the net profit from new doors. It assumes full rent collection at the entered fee, excludes vacancy, collection losses, leasing fees and incremental servicing costs, and does not include transition costs. Annual results assume the same monthly inputs for 12 months. Negative differences are shown as higher costs; equivalent doors are then zero.

The cost behind the salary

What does an in-house
bookkeeper really cost?

Explore the cost of an in-house accounting team by U.S. state, portfolio size, and workload. Start with a published salary reference, then tailor staffing and employer costs to your business.

Team capacity / editable planning assumptions

Your portfolio needs a team that fits.

The number of doors and the complexity of the work can require more than one bookkeeper or accountant. Model your staffing needs before comparing costs.

Capacity defaults to 200 doors per employee and workload to 1.0 for illustration only—not an industry benchmark. Increase workload for more entities, trust accounts, transactions, or reporting demands. Adjust salary for the actual experience and role you need.

1full-time employees in this scenario

Door count is synced with the pricing and savings calculators. Automatic staffing = round up (managed doors × workload multiplier ÷ capacity per employee). Manual mode uses your chosen whole-number headcount. This is a planning assumption, not a staffing recommendation.

Selecting a state loads its salary reference only. State unemployment, workers’ compensation, local levies, and benefits below are editable planning allowances—not verified state rates or mandatory benefit levels.

Customize per-employee hiring costs

All amounts below are USD per employee. Recurring expenses and one-time setup are multiplied by headcount; allocate any shared office, software, or management costs per employee to avoid double counting. Defaults other than federal tax formulas and the salary reference are illustrative Bookeaze planning assumptions, not market averages. Replace them with your employer-specific amounts.

Sources, assumptions & what is included

BLS OEWS, May 2025 state wage tables: median annual wages for Bookkeeping, Accounting, and Auditing Clerks, SOC 43-3031, cross-industry. Covers 50 states and D.C. This is not a specialized property management accountant salary. View selected-state wages on O*NET.

IRS Publication 15 (2026): employer Social Security is 6.2% of wages up to $184,500; employer Medicare is 1.45% of wages without a cap. FUTA uses the first $7,000 of wages and an editable effective rate. The 0.6% default assumes the full state unemployment credit; credit reductions or ineligibility can increase it, so replace it with your applicable rate.

All hiring assumptions are per employee. Each employee is assumed to have the same salary, benefits, and cost profile. Each employee’s Social Security and FUTA cap is applied separately before team costs are added. For a mixed-seniority team, adjust the salary to a suitable planning level and review the result. Tax wages per employee in this simplified model = base salary + bonus. Retirement and workers’ compensation use the same wage total. The state unemployment input is an annual dollar allowance; enter your actual employer liability, reflecting your assigned rate and wage base. Other employer state/local levies are separate. No employee withholding or personal state income tax is added as an employer cost.

Monthly health, software, HR, and workspace inputs are multiplied by 12. Annual salary already includes paid leave: no extra PTO percentage is added. Optional backfill is an additional budget only. Supervision = monthly hours × hourly cost × 12. Recruiting, equipment, initial training, and onboarding hours × hourly cost are counted once in first-year setup. Do not also include them in recurring inputs.

All non-source defaults are editable illustrations. Taxability of individual benefits, overtime, salary changes, turnover after the first hire, and employer-specific exceptions are not automatically modeled. Add relevant employer costs to the applicable field. This is a planning estimate, not a complete payroll tax calculation or hiring quote. Before we begin

A little clarity,
before we start.

Is this built specifically for property managers?

Yes. The service structure focuses on property and entity-level records, tenant and owner balances, management fees, vendor expenses, and the reporting needs of property management companies.

Can you help if our books are behind?

Cleanup and catch-up can be scoped as an initial project. We first review the period, available records, and reconciliation issues, then agree on priorities and deliverables.

Will we need to change our software?

We work with AppFolio, Buildium, and Yardi. Your platform edition, access permissions, reporting needs, and workflow are reviewed during discovery and confirmed before the engagement begins.

Does bookkeeping include tax or legal advice?

The proposed services cover bookkeeping and financial reporting. Tax filing, legal advice, audits, and jurisdiction-specific compliance reviews require the appropriate licensed professional and a separate engagement.

Who approves payments and distributions?

Your authorized team retains approval of payments, owner distributions, and account access. The engagement defines responsibilities, review steps, and access permissions.
